The Law Society of BC is seeking a temporary, full-time Supervisor in our Operations department for a 12-month term. Under the guidance of the Manager of Operations, Properties & Facilities, the Operations Supervisor is responsible for the training, supervision, assignment and evaluation of projects and tasks of the Internal Services Clerk and the Receptionist/Office Clerks. This position also coordinates vacation and sick leave for the operations staff and provides coverage when required. Exercises discretion, judgment and decision making in the daily administration of the operations work group and the execution of their functions. Policy decisions or complex issues are referred to the Manager, Operations, Properties & Facilities.

The duties of the position include:        
•    Provides regular feedback, supervises and evaluates performance of the Operations staff.
•    Identifies and implements new processes, strategies, efficiencies and solutions to improve and meet productivity needs and provide department updates and metric reports to the Manager.
•    Manages inventories and orders for office supplies and special orders from other departments including all printing materials such as letterhead, envelopes, business cards and bencher name wedges.
•    Manages the inventory of dictation machines, projectors and laptops available for loan to staff for meetings.
•    Ensures all common area spaces such as workrooms, copier stations and lunchrooms are kept tidy and are well stocked with supplies.
•    Liaises with the janitorial company as necessary to ensure offices, lunchrooms and kitchens are kept clean.
•    Oversees all catering requirements and maintain accurate records for invoice reconciliation.
•    Monthly Operations corporate credit card reconciliation.
•    Attend Health & Safety Committee meetings.
•    Manage supplies inventory for emergency kits, ensuring kits are up to date and items are not expired.
•    Coordinates ergonomic assessments, reviews, and implements requirements.
•    Manages the Operations calendar to ensure all meetings, and other significant events & requests are included and up to date.
•    Ensures security and safety procedures are met within the reception area. Responds to requests for assistance from the receptionist in dealing with hostile callers and visitors. If required escalates to the appropriate manager or agency.
•    Oversees meeting room bookings and audio video equipment maintenance.
•    Maintains accurate inventories of furniture and other fixtures or assets.
•    Manages the furniture & fixtures assets listing, asset tags and preparing annual inventory report & disposal forms for finance.
•    Act as back up to the Receptionist/Office Clerks, Internal Services Clerk, and Properties & Facilities Assistant as needed.
•    Perform other duties as directed by the Manager, Operations, Properties & Facilities.

Qualifications:
•    A diploma in Business Administration. 3 to 5 years of strong customer service experience with supervisory and or training duties, preferably in a legal office environment.
•    Knowledge of relational database structures required for security system processes.
•    Strong communication skills and must effectively and diplomatically engage with judgment with staff, management and volunteers.
•    Good knowledge of operational procedures and policies with strong project management, administrative management and organizational skills.
•    Excellent leadership and decision-making skills.
•    A self-starter with the ability to prioritize work in an orderly and timely manner with little supervision.
•    Sound knowledge of software applications related to the work performed such as Microsoft office. Sound knowledge of business English, spelling, punctuation and arithmetic and modern office procedures. Accurate typing skills with a minimum of 45 wpm.
•    Must be able to perform physical tasks, such as standing for long periods of times and lifting boxes up to 40lbs.

The salary range for this position is $57,721 to $62,740.
