The Law Society of BC is seeking a permanent, full-time Senior Administrative Assistant in our Professional Conduct department. This position supervises, trains and mentors at least 6 administrative assistants in the both the Investigations, Monitoring and Enforcement, (“IME”) and Intake and Early Resolution (“IER”) groups, as well as taking a lead role in administrative processes for both groups. In addition, the position provides administrative support to the Director of IME, external counsel conducting investigations, and to at least three staff lawyers in the IME group.

The duties of the position include:
  • Training, supporting and supervising administrative staff in both IME and IER, as well as assisting in the hiring process for new administrative staff;
  • Conducting annual performance reviews of administrative staff with input and assistance from the Director IER & PS or Director IME, as appropriate;
  • Managing administrative work flow, including scheduling of admin coverage for absences and ensuring balanced workloads among the assistants;
  • Maintaining and enhancing administrative processes and templates;
  • Monitoring and addressing any competency issues and responsibility for the performance management process for admin staff, with input and assistance from the Director IME and Director IER & PS, as appropriate;
  • Responsibility for implementing appropriate administrative policies and procedures in both IME and IER for effective file management and record keeping, including maintaining complaint records in the Law Society’s electronic systems;
  • Preparing internal resources for admin staff including training resources;
  • Providing direct support to the Director IME, including preparing and sending correspondence, scheduling meetings and conference calls, maintaining daily calendar and diary system, filing materials, submitting expense claims, and working on special projects as needed;
  • Maintaining systems to track legal opinions for the monthly Discipline Committee Agenda, and compiling the legal opinions and attachments;
  • Providing administrative support to the Director IME in handling of complaint files being investigated by external counsel, including preparing retainer letters and complaint materials to be sent out, managing all incoming correspondence and documents, providing internal resources to counsel, and finalizing legal opinions prepared by counsel;
  • Providing administrative support to at least three staff lawyers by proof-reading, formatting and finalizing correspondence and enclosures, proof-reading and formatting Opinions to the Discipline Committee, processing incoming mail and organizing incoming documents, saving electronic documents (including emails) to our document management system, scheduling meetings and interviews, maintaining inquiry and complaint records in the Law Society Information System (“LSIS”), and diarizing files. May independently generate letters on their behalf;
  • Assisting or providing back-up to the other IME or IER assistants as required;
  • Occasionally providing back-up to the Executive Assistant to the Chief Legal Officer;
  • Such other duties as the Director IME may require.

Qualifications:
  • Graduate of legal assistant or administrative assistant program or other equivalent education.  
  • A minimum of 5 years’ experience working in a legal setting, performing administrative functions, with prior experience supervising administrative support staff or other supervisory experience. 
  • Prior experience dealing with the public and high conflict situations is an asset.
  • Excellent written, inter-personal and communication skills.
  • Strong organizational skills, with the ability to work independently but at the same time, able to work as part of a team.
  • Enhanced computer training, with proficiency and experience working in Word, Outlook, Adobe Pro and Excel. This individual must be highly motivated and able to prioritize tasks.

The salary range for this position is $72,171 to $78,447.
