Our Operations department is seeking a permanent full-time Receptionist/Office Clerk. Reporting to the Operations Supervisor, the Receptionist/Office Clerk is part of the Law Society’s Operations team, who are responsible for a wide array of duties to support the efficient and effective operation of the office and building. The Receptionist/Office Clerk shares duties with one or more members of the team, which include answering and directing both external and internal calls via a switchboard console in an efficient and professional manner, arranging and receiving courier deliveries, sorting incoming and outgoing mail, filing, setting & cleaning up meeting rooms and looking after office supply inventories & audio-visual equipment.

The duties of this position include:
  • Ensures information is current in on-line databases and paper formats to direct calls to the appropriate department. Maintains accurate inbound courier and security log books.
  • Ensures the Receptionist/Office Clerk procedures manual is current.
  • Maintains a professional image in the reception area, by completing daily general housekeeping.
  • Processes all incoming and outgoing courier deliveries and maintains all related tracking logs.
  • Maintains visitor log & issues/manages visitor access cards.
  • Responsible for updates of the meeting room member manuals.
  • Triages and assists all public and member (in person and telephone) inquiries and deferring to relevant staff, dept. or agency only when necessary.
  • Accepting authentication payments on behalf of the Registration & Licensing department. 
  • Photocopying or scanning projects as assigned by the Manager, Operations, Properties & Facilities.
  • Maintains office supplies inventory in the main workroom. Purchases office supplies and other special orders.
  • Order catering for meetings and events
  • Acts as back up to the Internal Services Clerk in their absence. 
  • Acts as one of Law Society’s Fire Floor Wardens – annual training is provided.
  • Completes other tasks and duties as assigned by the Manager, Operations, Properties & Facilities.
Qualifications
  • High School Diploma or equivalent. Accurate typing skills with a minimum of 40 wpm.
  • A minimum of 2 years administrative support experience in an office environment. 
  • Experience and/or training in customer service an asset.
  • A self-starter with strong multi-tasking skills to prioritize work in an orderly and timely manner with minimal supervision.
  • Strong attention to detail & accuracy.
  • Ability to lift 40 lbs. (the role has some physical demands, such as the moving and or lifting boxes)
  • Excellent communication, negotiating and interpersonal skills when dealing with both internal and external callers. The incumbent must have strong diplomatic skills in directing the caller to the appropriate agency or resource.
  • Must be able to develop and sustain positive working relationships with all levels of staff.
  • Sound knowledge of software applications related to the work performed such as Microsoft Office.
  • Sound knowledge of business English, spelling, punctuation and arithmetic and modern office procedures.
  • Experience working with audio visual systems and equipment in a meeting room setting.
The salary range for this position is $51,145 to $55,592.
