The Law Society of BC is seeking a permanent, full-time, Assistant in our Trust Assurance department. The Assistant, Trust Assurance provides administrative support to the Trust Assurance Department; including the Director, Team Leaders, Auditors, and Coordinators with respect to the administration of the compliance audit program and the annual trust reports filed by lawyers.

The duties of the position include:        
  • Preparing compliance audit correspondences, including emailing introductory letter, follow up letters and closure letters to law firms. 
  • Creating and saving the compliance audit working papers, along with other audit records in the document filing management system.
  • Creating TitanFile channels and emailing the information to law firms and auditors; monitoring TitanFile to track access and amend the channels before, during and after an audit.
  • Monitoring the compliance audit dashboard in the computer database to ensure accuracy.
  • Providing administrative support to Auditors and corresponding with the law firms on behalf of the Auditors.
  • Maintaining the department’s bring forward (BF) system; keeping track of responses and creating and sending reminder letters/emails to law firms and department staff.
  • Creating and sending lawyers the Trust Report filing notices, reminders and urgent reminders via broadcast emails.
  • Corresponding with lawyers on their submission of accountant’s report waiver requests and waiver of late fee assessments, including making necessary changes to the trust report filing requirements and cancellation of invoices in the computer database.
  • Providing technical support to lawyers and their staff on how to access Trust Report filing notices, file online Trust Reports and create Trust Administrative Fee invoices.
  • Maintaining the post audit survey in the document filing management system.
  • Receiving, saving, labelling and storing mail and couriers of law firm records and arranging the return of the records.
  • Formatting, proof reading and sending department letters via regular mail, courier and email.
  • Daily maintenance of the department’s voicemail in-box by responding to calls or forwarding calls to the appropriate person. 
  • Daily maintenance of the department’s email in-boxes (trust accounting, trust report and trust notices) and responding or forwarding emails to the appropriate person. 
  • Scanning and saving law firm records and correspondence in the document filing management system.
  • Such other duties as the Senior Coordinator or Director may require.
Qualifications:
  • Successful completion of an Administrative Assistant Certificate Program and 2 years’ experience in an administrative role. 
  • Professional training and experience in Microsoft Office Applications. 
  • Demonstrated writing and publishing skills with strong attention to detail, excellent organizational and ability to manage multiple tasks with deadlines. 
  • An articulate and organized person, working in a professional environment with minimal direction, though able to take direction well when provided. 
  • Ability to exercise initiative and judgment, particularly when handling important and sensitive information.
The salary range for this position is $59,610 to $64,794.
